How to write event emails
When to send it
Send an event email once you have a date, a time, a place, and something for people to do when they get there. An open house, a workshop, a pop-up, a live demo: the email has one job, which is to get the date onto a calendar.
Send it to your whole list when anyone is welcome. Send it to a saved segment when the room is small or the event is for a particular group, like people who bought a certain product or customers who come in for one service.
Send a reminder about a week out to everyone who has not signed up, then a short one the day before with the address, the parking and the start time.
Timing
One email is enough for a small in-store event. A workshop with limited seats usually needs two: the invitation when the date is set, and a reminder about a week before. A last note the day before is for the practical details, not for selling the event again.
Each of these is a separate campaign, scheduled for the morning you want it to land. Spread them out so the reminder does not arrive the same week as the invitation.

How AguMail sends it
In AguMail an event email is a campaign. Pick a template and it copies into your account and opens in the email editor, where you change the date, the address and the photo. Send it to your whole list, or to a saved segment on Starter and above, now or at a scheduled time. Campaigns are on every plan, Free included.
If you want a head start on the wording, the writing assistant can draft the email from the business details saved in AguMail. You read and approve every word before it goes out.
This email is sent as a campaign, to the list or a saved segment, now or at a time you pick. Campaigns are on every plan, Free included.
Common questions about event emails
How far in advance should I send an event email?
Three to four weeks ahead for anything people need to plan around, like a workshop or an open house. A small in-store event is fine at two weeks.
How many reminder emails should I send?
Two is usually right: one about a week out, and one the day before with the address, parking and start time. Skip the second if the event is small and everyone has already replied.
Can I send to only part of my list?
Yes. A campaign goes to your whole list, or to a saved segment on Starter and above. That is how you keep a 12-seat workshop away from subscribers who live two states over.
What should the email itself include?
The date, the start and end time, the address, what happens while people are there, and how to sign up. One photo of the room or the last event does more than three paragraphs.
Are the event templates free, and can I change them?
Every template in AguMail's library is free on every plan, Free included. Using one copies it into your account and opens it in the editor, where every word, color and picture can be changed.
